Job Description
The Administrative Support Specialist is a multi-layered role that may support the functions of Growth, Marketing, HR, Finance, and various other departments as needed.
Job Responsibilities
?upport Regional Tradeshow process by assisting with tradeshow registration, gathering agendas, and sending calendar invites to attendees.
?anage accounting process and payments, including new vendor setup and vendor maintenance.
?rocess bi-weekly payroll; may include tracking and reporting time and attendance, entering commissions, and other related payroll in accordance with company policy.
?alendar management, including maintaining multiple teams?martsheet calendars and general meeting scheduling.
?ssist in coordinating various teams?eetings as needed.
?upport sales and marketing functions, including assisting with marketing campaigns, managing sales materials, and coordinating sales-related events.
?ssist with various employee welfare initiatives such as appreciation events, achievements, and awards.
?ct as a point of contact for business card and literature ordering, travel assistance, and general administrative questions. Provide support for Kronos, Concur, and other relevant Aramark applications.
?erforms other duties associated with the position that are reasonably assigned to support the overall needs of the business.
Qualifications
?inimum of 5 years of relevant experience.
?bility to work in a dynamic environment with openness to expanding and changing job responsibilities.
?iscretion in handling confidential material and high comfort level liaising and interacting with directors, executives, and other stakeholders.
?trong communication (both written and verbal) and people skills; approachable with the ability to maintain positive relationships at all levels within the organization.
?nergetic personality with strong interpersonal communication skills and a service-oriented approach.
?killed in managing multiple tasks/projects, with the ability to work in a fast-paced team environment in a self-directed manner.
?bility to adapt to and thrive in a rapidly changing business environment.
?ense of ownership, initiative, collaborative and flexible attitude, with the ability to execute tactics to support strategic plans.
?roficient in Microsoft Office Suite.
?ust have proven experience as a virtual assistant or in a similar administrative role.
?bility to travel as needed to support events and company functions.
?ust have appropriate accommodations to work from home, including a reliable internet connection and a suitable workspace.
