Job Title: Remote Legal Admin Assistant (100% Work From Home) Location: Remote from Latin America Position Type: Full-time Salary: $1,000 USD per month plus a performance bonus of up to an additional $300 USD per month, depending on KPIs met. Schedule: Monday - Friday, 9:00 AM - 5:00 PM EST Job Overview: Our client is a fully-remote corporate and commercial law firm based in Toronto, Ontario, Canada, empowering founders, startups, and businesses with a comprehensive range of legal services. They leverage legal technology to run a smarter practice, offering the expertise of large firms with the agility of a startup. Their small, close-knit team of 12 (soon to be 13!) prides itself on a culture of excellence, integrity, and innovation, committed to diversity and inclusion. We're seeking a motivated and detail-oriented Legal Administrative Assistant to join our client's Litigation department. This unique hybrid role blends office administration with corporate clerk responsibilities, focusing on legal document drafting, research, data entry, and supporting our accounting, marketing, and HR teams. You'll work closely with their Case Manager and Office Manager, reporting directly to their two Partners. The ideal candidate is an administrative whiz with legal training, exceptional organizational skills, tech-savviness, and a proactive approach to improving processes. Responsibilities • Document Drafting & Review: • Draft affidavits, court forms, and other litigation documents. • Keep meeting minutes. • Assist with client onboarding and compliance/Know Your Customer (KYC) reviews. • Handle intakes if required, prepare and manage retainer letters, send them out for signature, gather client IDs, and manage DocuSigns to ensure prospects are converted into clients. • Other litigation document drafting, review, and maintenance. • Digital Organization: • Managing our digital systems (folders, files, and other data) and legal software (MyCase, Athennian, Google Drive, etc.) to ensure teammates access clean and tidy records. • Accounting Support: • Supporting our Accounting team. • Following up with clients on outstanding bills & receivables. • Organizing expense reimbursement invoices. • Marketing Support: • Creating and maintaining a client CRM. • Building systems to ensure updated data for existing clients and potential leads. • Office Administration: • Corresponding with benefits providers and bank representatives. • Assisting with other HR concerns. • Responding to a wide range of ad-hoc, day-to-day issues. Qualifications, Skills, and Key Competencies • 3+ years of experience in related roles (office administrator, legal administrator, law clerk, paralegal, junior lawyer, etc.). • A Bachelor's Degree in Law is a must • Comfort with technology, fast typing speed, and the ability to quickly learn new software. • Fluency with MS Office (Word, Excel) and Google Workspace/G Suite. • Excellent organizational skills with precise attention to detail. • Exceptional written and verbal communication skills with outstanding written, phone, and video professional etiquette. • Fast output and consistently flawless work, both as an independent teammate and a collaborative partner. • Proactive, driven, and eager to take on more responsibilities. • Familiarity with (or interest in) legal terminology and processes, particularly in corporate and/or commercial law within a common law legal system. Bonus if you also have: • Legal Experience: • Experience as a law clerk/paralegal/junior lawyer. • Experience in litigation, corporate, or commercial law. • Familiarity with corporate minute books and other governance records. • Experience drafting court forms or documents. • An understanding of the Canadian legal system or similar common law legal frameworks. • Basic Accounting Knowledge: • Billing practices, invoicing, accounts receivable, etc. • Marketing Experience: • CRM management. • Long-form blog content writing. • Relevant Software Experience: • Tools like Athennian (for maintaining corporate minute books), Soluno (for billing and CRM), ChatGPT (for marketing assistance), DocuSign (for e-signing of documents), and Dext (for bookkeeping).
