Hand2mind is a family-owned company that creates engaging educational materials for classrooms and homes. The RFP & Bids Assistant will play a critical role in ensuring timely and accurate submission of proposals and bids, collaborating across departments to support educators and students.
Responsibilities
- Monitor and organize the RFP & Bids Department inbox, routing messages to the appropriate team members
- Complete vendor registration forms and maintain accurate, up-to-date records
- Prepare and submit blanket bids and routine proposals via mail, email or online portals
- Perform accurate data entry and maintain organized files for vendor forms and bid records
- Create Sole Source letters as needed
- Communicate effectively with other departments to gather required information and ensure timely bid submissions
- Maintain confidentiality and compliance with bid submission protocols
- Support the RFP & Bids team with administrative tasks and other duties as assigned
Skills
- 1-2 years of experience in a bid/proposal environment
- Familiarity with vendor registration processes and bid submission protocols
- Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet tight deadlines
- Excellent written and verbal communication skills
- Comfortable working with cross-functional teams and interdepartmental communication
- Flexible and adaptable, able to shift priorities quickly in a fast-paced environment
- Self-directed and reliable, able to work independently without requiring frequent oversight
